Export Coordinator
We are looking for an individual who will be responsible for establishing and maintaining profitable relationships with customers on behalf of the company by taking personal and complete responsibility for each customer contact and by ensuring that all customer requirements are completely met. As the Export Coordinator, you serve as the primary internal representative for our organization, you must convey to the customer a sense of expertise in our adhesive products and you serve as an external key educator to our community and customers. The EC is also responsible for communicating customer requirements to the production team, in accordance with company policies and procedures. This position is hybrid, reporting to our Archdale, NC office 2 days a week.
Your Responsibilities and Duties:
General and Administrative
- Communicate effectively with the General Management, the Sales Team, and the Production Team, informing and updating them regularly to guarantee that sales and customer objectives are met.
- Comply with all OSHA safety requirements, work rules and regulations.
- Comply with all IATA and Maritime regulations
- Complete and maintain all required paperwork, records, documents, etc.
- Follow systems and procedures as outlined in company manuals.
- Participate as a key team player by supporting operations as needed.
- Send Product samples and Material Safety Data Sheets (MSDS) and Technical Data Sheets (TDS) as requested.
- Maintain departmental housekeeping standards.
- Other duties as assigned by Supervisors.
Customer Service
- Answer phone calls to appropriately greet and assist every customer in a timely manner.
- Process customer orders in a courteous, efficient and timely manner. Provide courtesy follow up via email / phone (thank you for order, anything sales we can do for you, do you use any other adhesives we may be able to supply, etc.)
- Process sample order requests and ensure samples are shipped in a timely manner.
- Provide information to customers regarding order confirmation, new products and applications, shipping, etc.
- Track shipments and report findings to customers as outlined in your order processing procedures.
- Maintain forecast database for customer orders.
- Maintain customer master information in SAP and Client Bonding (pricing, billing information, shipping information, etc.)
- Organize workflow to meet customer deadlines.
- Effectively present and discuss the products and services of the company, soliciting only those desired products/services provided by the company and its distributors to current and prospective customer in a way that conveys an image of quality, integrity and superior understanding and delivery of customer needs.
- Manage telephone calls professionally, efficiently and with good communication skills.
- Attend to customer questions, complaints and concerns immediately, and facilitate satisfactory resolutions.
- Utilize databases that are in place for sample request, article number set-up request, responsiveness, C-4, out of spec approvals, return authorizations.
- Understand and appropriately use the company pricing system and policies.
- Review invoices for accuracy.
- Coordinate Shipments with forwarders and brokers.
- Negotiate transportation rates with forwarder and brokers.
- Review freight invoices for accuracy.
- Provide with export documentation as well as forwarders and brokers.
- Collect past due accounts.
- Schedule export shipment for delivery.
Sales and Marketing
- Support the efforts of the Outside Sales Representative(s).
- Support Customer Sales through service, education, and effective problem solving. Involve appropriate team members as needed.
- Support strategic sales plan and marketing strategies outline by the sales team, and facilitate joint marketing calls where applicable.
Our Requirements:
- High school diploma or College Degree.
- Foreign Language (Spanish or Portuguese preferred)
- Experience in sales or customer service and/or experience in industrial adhesives and chemical manufacturing. (preferred)
- Minimum of 1 year experience in a Customer service / Export setting. (preferred)
- Excellent command of the English language in both written and oral forms.
- Good math skills
- Excellent interpersonal skills.
- Ability to identify and meet customers’ needs and requirements.
- Strong attention to details, possessing a sales aptitude and interested in preventing errors and solving problems.
- Must be computer literate and current on new technology.
- Must be hardworking, a self-starter and a problem solver.
- Demonstrated excellence in organization and time management skills. Able to perform multiple tasks efficiently.
- Exceptional phone and customer service skills.
- Positive and upbeat attitude.
- Ability to move freely throughout the building to gather information, materials and authorizations.
